Planet Plus Limited ("Planet+," "we," "us," or "our") runs the Planet+ Climate Solutions Challenge, including the Planet+ Competition and the Planet+ Summit, and the website at www.planetpluschallenge.com (the "Site"). This policy explains what personal information we collect, how we use and share it, and the choices and rights you have.

Who this policy covers

This policy applies to students who apply to or take part in the Competition or Summit; parents and guardians; teachers, advisors, and school staff; judges, speakers, and partners; and anyone who visits the Site or contacts us.

Students under 18

Planet+ is designed for high school and undergraduate students, so many participants are under 18.

  • The Site and our programs are not directed at children under 13, and we do not knowingly collect personal information from them. If we learn we have, we will delete it.

  • For participants under 18, a parent or legal guardian must consent to the student's participation and to our processing of the student's personal information. Any fees must be paid, and any participation agreement signed, by a parent or guardian.

  • Parents and guardians may contact us at any time to review, correct, or delete their child's information.

Information we collect

Information you give us:

  • Interest forms, info session registrations, and inquiries: name, email address, school or institution, grade level or year of study, country, role (student, parent, educator), and anything you include in your message.

  • Competition applications: student and team member names, contact details, school, grade, team advisor details, and application responses.

  • Parent or guardian information: name, contact details, and consent records.

  • Competition work: submissions, case study responses, presentations, and other materials your team creates.

  • Payment information: payments are processed by Stripe. We receive confirmation of payment and limited details such as the payer's name, email, and billing country. We do not receive or store full card numbers.

  • Event information: for the in-person Summit and Competition finals, information needed to run the event safely, such as emergency contacts, travel details, dietary requirements, and health or accessibility information you choose to provide. We collect health information only where needed for safety or accommodations, and only with consent.

Information collected automatically: when you visit the Site, our hosting provider and forms provider may collect your IP address, browser and device type, pages visited, and referring website, using cookies and similar technologies. See "Cookies" below.

Photos and video: we may photograph or record Planet+ events. We will ask for consent (from a parent or guardian for participants under 18) before using identifiable images of participants in our marketing or social media.

How we use your information

  • Respond to inquiries and send information you have asked for, such as info session details

  • Process applications, run the Competition and Summit, and communicate with teams, advisors, and parents

  • Share team submissions with judges and academic partners for evaluation and feedback

  • Process payments and issue receipts

  • Plan events, including travel, safety, and accommodations

  • Send program updates and, where you have agreed, occasional news about future Planet+ programs (you can unsubscribe at any time)

  • Improve the Site and our programs

  • Meet legal obligations and protect the safety of participants

We do not sell personal information, and we do not use it for targeted advertising.

How we share your information

We share personal information only as follows:

  • Service providers that operate on our behalf: Squarespace (website hosting), HubSpot (forms, contact management, and email), and Stripe (payments), plus event venues, travel, and insurance providers where needed for in-person events. They may use your information only to provide services to us.

  • Academic partners and judges, including the Columbia Center on Sustainable Investment, who receive team submissions and related participant information for judging, feedback, and program delivery.

  • Schools and advisors, where a team's school or faculty advisor needs information to support that team.

  • Legal and safety reasons: where required by law, or to protect the safety of participants or others.

  • Organizational changes: if Planet+ is reorganized or transferred, subject to this policy.

We do not share participant information with any other organization, including any organization affiliated with Planet+, for its own marketing, recruitment, or services.

International transfers

Planet+ operates internationally, and our service providers store and process data in the United States and other countries. If you are outside those countries, including in the European Union, United Kingdom, mainland China, or Singapore, your information will be transferred outside your home country. Where the law requires it, we rely on appropriate safeguards (such as standard contractual clauses) or your consent. By submitting information through our forms, residents of mainland China consent separately to this cross-border transfer, as described on the form.

Cookies

The Site uses cookies that are needed for it to work, and, with your consent where required, analytics cookies that help us understand how visitors use it. You can accept or decline non-essential cookies through the cookie banner and change your choice at any time. You can also block cookies in your browser settings, though some features may not work. HubSpot forms embedded on or linked from the Site may set their own cookies, as described in HubSpot's privacy policy.

How long we keep information

We keep personal information for as long as needed for the purposes above. Generally:

  • Inquiry and interest-form data: up to [2] years after our last contact with you, unless you ask us to delete it sooner

  • Application, participation, and consent records: up to [3] years after the program cycle ends

  • Payment records: as long as tax and accounting laws require

  • Event health and emergency information: deleted within [90] days after the event

Security

We use reasonable technical and organizational measures to protect personal information, including access controls and encrypted payment processing through Stripe. No system is completely secure, and we cannot guarantee absolute security.

Your rights

Depending on where you live, you may have the right to:

  • access the personal information we hold about you

  • correct inaccurate information

  • delete your information

  • object to or restrict certain processing

  • withdraw consent at any time, without affecting processing before withdrawal

  • receive your information in a portable format

  • opt out of marketing emails, through the unsubscribe link in any email

EU and UK residents may also lodge a complaint with their local data protection authority. Where we rely on legitimate interests, such as responding to educators about the program, you may object at any time.

Residents of mainland China have rights under the Personal Information Protection Law, including rights to access, copy, correct, and delete your information and to withdraw consent, including consent to cross-border transfer.

Residents of Singapore may request access to and correction of their personal data under the Personal Data Protection Act.

To exercise any of these rights, email info@planetpluschallenge.com.  We may need to verify your identity, or for a student under 18, the parent or guardian's identity. We will respond within the time the applicable law requires.

Third-party links

The Site links to other sites, including LinkedIn, YouTube, and Instagram. Their privacy practices are governed by their own policies.

Changes to this policy

We may update this policy from time to time. We will post the updated version here with a new "Last updated" date. If we make material changes, we will notify participants by email or on the Site.
